A Checklist for Booking Live Music For Your Corporate Event

Arranging any sort of corporate event can quickly turn into a logistical headache. From catering to different dietary needs to finding a venue to suit all attendees there are lots of factors to consider. That’s why finding a band that takes a professional approach is so important. It frees up your time to focus on other matters and means you can relax on the day knowing the band are in control of their contribution.

Here are some of the things we think are important to think about when booking a band for your event.

PLI and PAT Testing

For some it may be exciting but for most, paperwork and certifications can be a turn off. Thankfully, we fall somewhere in the middle! It is important to us to know that we are prepared for any situation as we know most venues rightfully take these matters seriously. With this in mind, all of our equipment is PAT tested and fully up to date. In addition, we have our own public liability insurance. Having these aspects covered should bring peace of mind but also show the importance we place on professionalism. To help out here, we are even happy to liaise with any venues directly should they need any further information or evidence.

Flexibility with Timings

Weddings, whilst usually running behind schedule, tend to follow a particular format and we can usually guess before being told when we need to arrive, soundcheck and perform. Generally, corporate events are more flexible. It could be a business update that needs afternoon entertainment. It could be an annual conference requiring a more traditional function band approach. It could even be an awards dinner where 30 second bursts of music are needed throughout the night. Whatever it is, we are completely flexible and experienced enough to provide whatever is needed.

AV and Microphones

When arranging an event there are some things that are often overlooked. If there is any downtime do you need background music? If there are any speeches required, do you need to source a microphone? Thankfully, we are fully equipped to support in these situations. For any event we are fully prepared with a modern, powerful PA system and are loaded up with several microphones. We can provide background music through this PA system but also have the option to include a DJ set to you can really tailor the music to your event if required. Speaking off which….

Reading the Room

Corporate events, in the main, are not like weddings. Guests can be embarrassed of being too outgoing in front of their colleagues, new starters may be shy and alcohol may not be flowing quite as freely! That is why it is important for us to make sure we get it right when playing our part. Whilst we always prepare a setlist ahead of any event, we have a large repertoire we can draw on to make sure everyone enjoys our contribution. You can check out some of what we do here.

Professional Invoicing and Admin

The last thing we want to do is upset the accounts team at any business. They are often the most overlooked but important people in a business so best to keep them happy! With that in mind, having a professional approach to any admin and invoicing plays a key role in making sure things run smoothly. We are are experienced in providing invoices and accepting payment that way and are happy to liaise with any necessary contacts to make sure things run without a hitch.
